HOW DO I REGISTER?
If you do not have an account with EZChild, please click on the purple box, Open Account. Follow prompts to register.
If you have already made an account on EZChild then you will need to open the green box for existing parents. It will ask for an email address and an email will be sent. Once you receive the email it will prompt you to make a password for your account. WHAT IS THE DAILY SCHEDULE?
What are Pick up & drop off procedures?
Each EEC site will have a specific door where the drop off and pick up location will be. Parents/Guardians will be asked to park their vehicle, enter through the assigned door.
Parents/ Guardians will use the tablet on site to sign their child out using a four-six digit pin number that will be assigned by your online EZChildTrack account. Please note if you are in a hurry please be sure to text the site phone 5-10 minutes before you arrive to pick up to ensure a quick pick up. In order to pick up your child(ren) the assigned pick up person must be 16 years old or above. Please see assigned door numbers below. The safety of your child is our number one priority- please know your 4-6 digit pin number for drop off/ pick up daily. If you do not have your pin number please bring a form of ID- this will be checked against the emergency pick up list. Please make sure that all allowed parties to pick up your child(ren) have been added to your account as preferred pick-ups. If there is someone that is NOT allowed to pick your child up please make sure this is provided in your EZChildTrack account, and please let the Club Supervisor know. Students can be dropped off or picked up during any program hours, there is not a specific time they have to be dropped off or picked up. Will I be charged for a late pick up?
Late fees will be assessed to any pick ups after 6:00pm. The charge is $1.00/minute late, per child. Example: one child picked up at 6:04 PM equals a late charge of $4. This charge will be automatically applied to your account. HOW DO I CONTACT THE CLUB SUPERVISOR?
Each site has a site phone that the Club Supervisor will check daily. Please note that the phone will stay on site and only be checked during program hours 6:30-8:30 AM and 3:15-6:00 PM. If you need assistance during non-program hours please email the Youth Services Coordinator Jenn Despain at [email protected].
If there is a change in transportation that is not your regular schedule you MUST notify the ACSC front office staff AND also text the site phone to let staff know that your child(ren) will or will not be attending. Please also text the site phone to let staff know if your child will not be in attendance if they normally attend EEC daily. HOW do I create a pin number?
Login to your account. On the left hand side (third button down) select “change pin”. You can either have a 4-6 digit pin for each family member or have one pin that the family shares. Please note that this code cant match anyone else’s 4-6 digit pin that is already in the system, so you might need to try a few different pin numbers. If you have trouble setting your pin, please contact the Youth Services Coordinator at [email protected] WILL I RECEIVE CONFIRMATION OF ENROLLMENT?
You will receive an email notification once your registration has been completed. Please note that if your child has an allergy or medical condition it has to be reviewed by the Youth Services Coordinator for approval. Pending enrollments are checked frequently. You will receive an email from EZChildTrack when your registration has been approved. How Much does EEC cost?
Please see pricing details below. If parents/guardians use auto pay, they receive a 10% discount. This means that a saved credit/debit card MUST be kept on file and used for payment. Pricing is based on the number of days in the month, so each month is a different price. All ACSC teachers and staff will receive a 20% discount on tuition fees.
How To Enroll In Autopay:
Login in your EXChildTrack account and select the green button that says “enroll in autopay”. You can either put in a saved credit card or bank account information. There is a credit card processing fee of 2%. If you choose to put in your back-account information, you will not be charged the fee. Please note when you are enrolled in auto- pay you receive a 10% discount. Do I Need Consistent Care or A Punch Pass? Consistent care is for families that are needing AM care, PM care, or both Monday-Friday on a consistent care basis. A punch pass is for families that need care sporadically-for example, only Tuesdays and Thursdays. Please note that if you are using a punch pass you are responsible for texting the site phone to let the Club Supervisor know your student is going to attend. You must notify the site phone by 8 AM for PM care, and by 6 PM for AM care. HOW DO I CANCEL MY ENROLLMENT?

Each of the school sites will have the same core program components with each school customized to serve the best interest of the students and parents/ guardians. We also recognize that our program’s success is driven by student choice; therefore, we place a high level of importance on listening to student input and acting on student ideas. Students will have fun and build confidence in our Treehouse Clubs that offer fun ways to explore STEAM. Clubs will happen at every EEC site both morning and afternoon. Clubs will be a fun way to incorporate student ideas, self-lead activities, and learning opportunities. Each Friday the clubs will rotate to a new site. Some examples of clubs are Lego Club, Book Club, Drawing Club, and so many more! After-school clubs can help students develop confidence, learn teamwork and cooperation, improve their academic performance and so much more. It is a fun meaningful way for kids to work with each other in areas they enjoy. A few club options will be Art Club, Lego Club, Sports Club, Card Game Club and many more options. Students will also be able to participate in snack time, gym games, outside time, homework time, STEM activities, crafts, and so much more. |
is there financial assistance available?
Financial assistance is possible in increments of 50% and 75%, you must fill out all of the appropriate google form and submit your free/reduced lunch paperwork. The scholarship link is associated with the school your student attends- please select the school that your child attends to apply.
If your student is approved by ACSC for reduced lunch you will receive a 50% discount. If your student is approved for free lunch you will receive a 75% discount. Upon approval of financial assistance admin staff will place the discount on your EZChildTrack account. Please note that there are a limited amount of spots for financial assistance and it is a first come first serve. All EEC sites will have a Club Supervisor and Club Counselors; staff ratio will be 1 staff member to 15 students. Each staff member is required to pass a background check through E-verify and a check through the National Sex Offender registry. Each employee must pass a drug screen through Hendricks Regional Health. Any inconsistencies will be reported to the Park Director, Township Trustee, and Avon Community School Corporation. will my child do homework at EEC?
The Explorer Extended Care program will provide time for your student to work on homework while at EEC every morning and afternoon. EEC will provide supplies to students during the academic assistance portion of the afterschool program. EEC will provide alternative activities and options to students who do not have homework or have already completed their homework. Students are responsible for bringing the necessary homework with them to the EEC program. Trips back to the classroom to retrieve work that was left behind is not always an option. Students are responsible for knowing what homework needs to be completed. Please ask your child’s Club Supervisor about their policy on using Chromebooks or computers during Academic Assistance time. Please note that EEC does not offer one-on-one tutoring for participants, but staff are willing to step in and help when needed. Parents and guardians, please check your child’s homework at home to ensure completion and accuracy of work. Communicate with your child’s EEC Club Supervisor if your homework preference has changed or if you have any questions or concerns regarding your child’s homework. what are the behavior guidelines?
We expect staff and participants to demonstrate principals of respect, integrity, care, excellence, and responsibility. Students who fail to exhibit these character traits will be counseled by our staff. All staff will have training in how to use positive reinforcement discipline techniques, to modify behavior including redirection, personal reflection time, and removal from the activity until more positive choices can be displayed. Our goal is to keep parents/ guardians informed of their student’s choices, both positive and areas of improvement. We believe open communication between parents, guardians, and staff is essential in student success in our program. Chronic or severe behaviors that require improvement to safely participate in our program will be shared through a behavior incident report and a subsequent phone call. Our full behavior policy is located in the Parent Handbook. what if my child needs medication?
Whether a participant needs to take a medication regularly after-school or needs their emergency medicine close at hand during the program, our staff have it covered. We will request a parent/guardian to complete our Medication Permission Log which will serve as the parent’s permission to give the medication as well as serve as a log for when staff administer the medication. Any medication participants need while enrolled in EEC should be provided in the original container. Unless the medication is utilized for quick-relief, emergency purposes, the medication will be stored with the first aid kit and stored on-site at EEC. Emergency medications will stay with the adults supervising the child for whom the medication belongs. With the parent’s permission, older children may self-carry emergency medications. EEC must receive a child’s medication for exclusive use during the program. We are unable to access the nurse’s station after school hours. Children’s allergies are disclosed by the parent/guardian at the time of enrollment. Staff keep a running list of all participants with allergies and are diligent in keeping these children safe by monitoring them and all their EEC activities. Please contact the Club Supervisor if your child has any outstanding medical needs and/or allergies. We work with each family on a case-by-case basis to ensure safe participation. EEC appreciates parents/guardians providing the Club Supervisor any school forms related to health (i.e., asthma action plan, seizure action plan, etc.). EEC does not provide over-the-counter (OTC) medication (e.g. Benadryl, Tylenol, etc). Parents/guardians may provide OTC medication for their child’s exclusive use at EEC with a completed Medication Permission Log. what if there is severe weather?
Students report to school but school is cancelled: EEC will not run PM programming is school is canceled. We will work closely with ACSC staff and personal to ensure all students are sent home by the way of the method their parent/guardian has indicated. 2 Hour Delay: EEC will also begin 2 hours later in the event of a 2 hour delay. For example if we regularly begin at 6:30 AM, we will begin at 8:30 AM in the event of a 2 hour delay. School is canceled and students do not report to school: In the event of ACSC school closure, EEC will not run AM or PM care. School’s Out Day Camps Delays and Cancellations: The decision to delay or cancel rest with the Youth Services Director. EEC staff will alert families of enrolled participants via email in the event of a delay or cancellation. Information can also be found on our park website and social media. Washington Township Parks Department offers extended break and summer camp care year-round for breaks and summer.
Anytime ACSC is not is session, Washington Township Parks will provide camp programming. All camp programming will take place at Washington Township Park at 435 Whipple Lane Avon, IN 46123 Pavilion Center. More information can be found on our website. how do I generate my tax receipts

Will i get to provide my feedback?
Families who use our services will receive an email evaluation twice a year (December & May) to help us continue to improve our programming. In addition, we will request a yearly review by Avon Community School Corporation. This will ensure that we continue to provide the best program to the students of ACSC. In true partnership, we encourage ACSC to come to us with any suggestions for improvement at any time throughout the year. |
